How do I know if I am a good fit as a client?We have yet to meet a client who isn't a good fit! However, it is important to know that we do not engage in hoarding, chronic disorganization, and rapid-clean-out cases, as they are not our specialty, but we will gladly send you a referral. Our favorite clients are those who value the collaboration and feedback process regarding design and project conception.

I have referred you to a friend or colleague; do I get a discount?Yes, individuals who have referred a client who has signed a Client Agreement and moved forward with a project receive a discount on future projects. For more information on discounts, contact a Squad member.

Why do I have to fill out a Client Intake Form?We prefer that you fill out a Client Intake Form because it provides necessary information that we review before conducting a short virtual meeting and the subsequent assessment process. However, if you are unable to submit a form for any reason, please reach out to The System Squad team, and we will make sure to get in touch!

I want to know more about your services but don’t want a virtual meeting. What are my options?We are very flexible with our client intake process and will work to meet and discuss project details in any way that is most comfortable for you. Contact a Squad member to discuss meeting virtual alternatives. However, some parts of this process will be easier to conduct over the phone and in person, so we ask that you keep that in mind.

Who should attend an on-site meeting?Anyone who will be involved in the project creation process should attend the on-site meeting.

What do I need to do to prepare for an on-site meeting?On-site meetings require the space we will be working with to be accessible and viewable. If the space is unable to be open, we ask that you share photos, videos, and additional documents so that we can get a comprehensive idea of what we will be working with and get a sense of the project space. Otherwise, please prepare for the meeting by having a general idea of your project, estimated timeframe, and scope for the job. We also ask you to pay a $300 consulting fee upfront before the visit. If the fee has not been paid by the day of the in-person meeting, the meeting will not take place and will be rescheduled.

How much is an in-person, on-site consultation?The consulting fee is $300. This fee is required before on-site visits and is applied to your project deposit if you continue with concept creation and review.

What if I need to cancel my on-site meeting?If a scheduled on-site meeting needs to be canceled, please contact us as soon as possible. We require a twenty-four-hour notice for cancellations unless of an emergency. In the event of a cancellation without a rescheduled meeting time, paid consulting fees will be refunded to you.

Will you meet on-site with me if I am outside of the Denver-metro area?Yes, we will meet on-site with you outside of the Denver-metro area. However, based on the distance to travel we require an additional transportation fee alongside the $300 consulting fee. If you are out of state or out of the country and would like to request an on-site meeting in place of a virtual meeting, get in touch with a Squad member to learn about our travel process and additional consulting requirements. We do our best to accommodate your schedule to get you working with us and continue with the project assessment process.

Who will be working in my space?A Squad member will introduce all necessary collaborators and team members to you as project conception and review begins and agendas are confirmed and agreed upon. We also welcome any of your staff and company involved in your space design and reconfiguration if they are to remain on your property while we work.

My spaces are under construction; can you work in an unfinished area?Absolutely! We have no problem working in unfinished spaces, and we often prefer it as it allows us to take care of underlooked details and formulate systems from the ground up. We are happy to be coming in at any phase of your project, whether during a rebuild, remodel, or refresh on a property you have lived in your entire life. Please let us know of any details for the space that may negatively impact our progress and the project scheduling and agenda.

What are your requirements regarding my spaces before project initiation begins?For our safety and to maximize our efficiency, we require that spaces have working electricity, running water, adequate lighting, access to parking, and disclosed personnel safety measures in place. Our non-negotiables: urine, feces, excessive rodent poop, rodent or bug infestations, needles, drugs or drug paraphernalia, or mold. Additional requirements for your space will be discussed in your Client Agreement.

I need help with project management; who do I contact?Contact a Squad member for project management issues; they will be able to help you or refer you to a project manager.

I need to make changes to my in-progress project; what are my options?Changes to in-progress projects should be discussed with a Squad member; please reach out to them as soon as possible so that your project can be better suited to your needs and a new schedule and project plan can be made. Additional details regarding changes to your project will be updated on your Client Agreement.

I am looking to extend and expand the scope of my project; what are my options?Contact a Squad member to learn more about your options for project expansion.

Can I book you for multiple spaces on various properties?Of course! When filling out the Client Intake Form, let us know which properties you would like us to work on and other project specifics.

How far in advance do I need to book your services?We are very flexible when booking services; however, it is always best to book as soon as possible so we get you on our schedule and begin planning your project.

I need my space completed by a certain date; do you have a fast turnaround?If our schedule permits, we will do our best to achieve project completion by your desired date. Contact a Squad member to schedule your project as soon as possible. However, we are not a business that tries to do multiple projects at once because we value quality over quickness.

How do you calculate a project estimate?Because of the varying scope of each project, estimates are calculated by measuring a number of variables, primarily taking into account the spaces being worked on, the number of items being purchased to organize and design the space, as well as other service elements required in order to make your dream space a reality. Estimates will be given and discussed in detail after an initial on-site meeting when you move forward with the concept creation and review process. Due to many factors, we cannot guarantee that your project cost will remain unchanged. If there is a significant change to your estimate, it will be discussed. If you have any questions regarding an estimate you have received from us, please don't hesitate to reach out.

What products do you use?We source products from a variety of suppliers and a number of boutique vendors.

Do I get to decide which products and materials you use for my space?Yes, we will take your preferences and input regarding aesthetic and design concepts during project initiation. And along the way, as your project develops, you will be able to provide additional input and feedback on our hand-selected products and their materials. Product selection is a large part of our service package, and sourcing, selecting, and implementing is what we do best —leave it to us to hand-select products we know you will love for your project. Products are given to clients at-cost.
